3 Tips for a Fast and Easy Quote

Tip #1: Schedule early - first come first serve!

Within 7 days = rush fees. We get booked weeks to months in advance, and may not be able to take on all short-notice projects. In addition, we often hire subcontractors to fill out your event crew and acquire additional high-end equipment where needed. The more time we have to thoughtfully select these, the better.

Tip #2: Provide us with as many accurate details as you can, as soon as possible.

It helps if you give us as much of the following as you can:

  • Event Name

  • Date/time(s)

  • Event schedule/run-of-show

  • Location/venue(s)

  • Information about your technical needs

  • Dimensional floor-plan(s) of the venue

  • Ceiling height(s)

  • Electrical ratings of the circuits in each room

  • What onsite services other vendors are providing

  • If you have any other photographers, videographers, or press planned.

  • The media you wish to display

  • Special requests

Tip #3: Schedule a date at the venue with us and your other vendors to do a site visit.

We’ll send a preliminary estimate before a site visit, but even once you have that initial estimate, a site visit could change things quite a bit (or not at all). Due to the unknown of every new venue, a short visit to scope things out is necessary for a smooth production experience. This helps us determine, first-hand, the room size, power and internet availability. We have had several events completely change scope and cost the day-of because of incorrect information provided by the venue, which would have been avoided with a site visit. It also helps us get a sense for parking and loading areas if available. Lastly, this site visit sometimes gives us the opportunity to discuss layouts with your other vendors, like caterers and decorators, to make sure we don’t have any conflicts.
