What file formats should we send for AV?

For the best AV experience and optimal compatibility with our systems, please check that your submitted media follows these best practices:

• Slides/presentations: ideally 16:9 aspect ratio, not the older 4:3 ratio. 4:3 slides will still display, but will have bars to the sides of the screen which looks less ideal for modern presentations.

• Whenever possible, we use local (no internet needed) playback systems for videos, music files, etc. and will need the actual video files or download links, or they should be embedded in a PPT.  Sending links to YouTube or Vimeo etc. will require pre-production work as we will need to download them and convert them for local playback. We typically do not honor requests to use online playback when local playback is possible. Some more protective platforms do not allow downloading and as such we will either need you to get us those files, or we will have to resort to playing them within the internet player which may sacrifice some reliability in a live show.

• Our standard video resolution output is 1920x1080, 29.97p. Any images or videos used in your event should be 1920x1080 pixels in resolution or higher for optimal quality. All media will be scaled up or down to this resolution if not.

• Accepted media & file types/containers: MOV, MP4, AVI, MKV, WMV, WEBM, ProRes — MP3, WAV, FLAC, AAC, M4A, AIFF, AIF, OGG, WMA — JPG, PNG, TIFF, BMP, GIF, HEIC, SVG, EPS — PDF, PPT, PPTX, KEY, Google Slides links — DOC, DOCX, XLS, XLSX, Google Docs links

  • Verify GIF animation use cases with us - may require format conversion or pre-production work

  • Verify SVG uses with us - may require format conversion or pre-production work

  • Keynotes will be converted to PPTX

  • Canva and Presi, or similar online presentation platforms, are not preferred and we strongly suggest either using a different presentation platform or converting these presentations before they get to us. If you absolutely must use a non-standard presentation method, please schedule this in advance with us and we will plan ahead and dedicate a machine to running the platform.

  • Check permissions on all Google Drive links!!
