The Looks Great Way
Step #1: Schedule early - first come first serve! Within 7 days = rush fees.
It helps if you give us:
Event Name
Date/time(s)
Location/venue(s)
Rough idea of technical needs
Dimensional floor-plans of the venue
Step #2: Meet with us and get a ‘Quick Quote’
We’ll have a brief conversation to figure out your event needs. Then, our Quick Quote system offers a low-stress, only-takes-a-minute way to gauge how much production you’d like quoted for your event. In this first meeting, you’ll know almost exactly what a production would cost at varying degrees of complexity. If it’s too much, we can scale back before sending you a final bid, and vice versa. This step helps us avoid some of the typical back-and-forth about quote options.
Step #3: Site visit (if necessary)
If you’re happy with the looks of our Quick Quote, we can move on to visiting the site of the event (if it’s a new venue for us). We’ll determine the load-in and load-out paths, power and internet connection points, any unknown dimensions, and any other info we need to ensure a smooth setup. If we’ve already worked at the venue, chances are we can skip this step.
Step #4: Final Quote
Given everything we’ve gathered planning your event, we’ll send you a final quote for approval. Once approved, we can start working on your project!
Tips
It helps greatly if you can send us a final OR EVEN DRAFT run-of-show (schedule) for our technicians to get an idea of the flow of your event at least 7 days ahead — this just reduces fear of the unknown for all involved.
Slides should ideally be 16:9, not the older 4:3 aspect. 4:3 slides will still display, but will have bars to the sides of the screen which looks less tidy.
We use local (no internet needed) playback systems for videos, music files, etc. and will need the actual video files or download links, or they should be embedded in a PPT. Sending links to YouTube or Vimeo etc. will add pre-production costs as we will need to download them and convert them for local playback.
Some more protective platforms do not allow downloading and as such we will either need you to get us those files, or we will have to resort to playing them within the internet player which may sacrifice some reliability in a live show.
We do our best to balance production quality and costs to you, and this currently results in our standard video resolution output of 1920x1080p. Any images or videos used in your event should be 1080p resolution or higher for optimal quality.
