Preliminary Terms and Conditions for Non-custom Production Packages

  • Upon inquiry, if the date(s) and times you request are available, we will reserve those dates for you for up to 30 days, until cancellation of the reservation, or 21 days before the reservation start, whichever arrives first. If all needed information has been provided, we will send over a final quote/agreement for your approval. A reservation will be exempt from any cancellation once a 40% down-payment has been made on the price of the quote/agreement, or upon approving the agreement for services under $500. We reserve the right to refuse any reservation for any reason.

  • Packages include setup, operation, and breakdown of equipment for a program lasting up to 1 hour. The program must fall within the type of event the package covers, beyond a reasonable doubt (e.g. a concert package cannot be booked for a conference). Programs exceeding the 1-hour duration will incur additional labor costs by the whole hour rounded up.

  • We require access to 115-125V power from a standard NEMA 5-15R or 5-20R outlet, and for livestreamed events, an internet connection with a minimum of 10Mbps upload speed. If the event location cannot provide these things, we cannot provide the service.

  • Technology will be visible in the event space as needed to complete the service. We can do our best to locate as much equipment out-of-sight as possible, but sometimes this is simply not possible given the particular venue or services.

  • All necessary cables and accessories to connect equipment are implied to be included by advertised packages and add-ons. All equipment beyond that explicitly advertised for a package or add-on will be included at our discretion and on a per-request basis.

  • We may, if either determined to be more practical or requested, integrate with client-provided and venue-provided equipment in place of equipment otherwise included in a package or add-on. However, package pricing remains unchanged by these integrations. We reserve the right to add additional labor costs if asked to manage more equipment than we would typically provide ourselves. Our pricing is based on an average of costs across different venues, taking into account the variation in available technology and infrastructure.

  • Packages include one Production Manager (lead engineer/operator) plus any assistants needed for setup/strike. Some add-ons may require additional operators and labor costs depending on the complexity of the service. If more technicians are specifically requested or required, or delivery/set and/or strike/pickup time brackets are constrained by external influences, requiring more assistants than otherwise necessary to complete the work in the time given, additional labor fees will apply.

  • We will always require early access to the venue for setup, and time after the service for breakdown. For services requiring equipment that cannot be transported in a typical vehicle, If there is no parking for the necessary truck(s) at the venue, dedicated driver(s) may be needed and this will incur additional labor costs.

  • Travel distances beyond a 15-mile drive (on commercial vehicle suitable roads) of the center of Arlington, VA will incur additional transportation fees.

  • Package and add-on pricing is stated per day. Multi-day events will cost the total service price multiplied by the number of days the event spans. Dedicated setup or rehearsal days will be charged at a reduced rate of 50% of the service price.

  • Additional terms and conditions will be outlined the final agreement.
